MINUTES OF GENERAL MEETING
Held at Vi Wallace Room – SEC BRIGADOON
At 3.30 p.m. on
Sunday August 23, 2009
Meeting Commenced 3.45 p.m.
Present as per Attendance Sheet: Daz McDowall, Steve McDowall, Teresa Warner, Christine Baker, Lesley Smith, Sue Thomson, Laurie Hateley, Jess Keeble-Jenkins, Harold Pitchers, Katrina Bailey, Mick Ross, Annette Kirk, Jenny Marsh, Ian Marsh, Warren Bartlette-Torre, Bronwyn & Taya Hill, Boyd Treloar, Chris Wyhoon, Jenifer Wyhoon, Angela Hall, Karl Buckley

Daren McDowell assumed the role of chairperson and declared the meeting open and thanked all those for attending.
Daren McDowell gave the meeting an over-view of what had been done to date regarding the viability of the equine sport Team Penning in this region. The meeting agreed with all comments made by Daren, so it was decided to proceed with a General Meeting.
Annual General Meeting commenced at 4.10 p.m.
Daren McDowell volunteered herself as President, because of the background she has in Team Penning and the input she has provided so far. Teresa Warner volunteered to be Vice President.
Volunteers were called for Secretary and Treasurer. Susan Thomson as Secretary and Janene Marsh as Treasurer were duly elected.

Ian Marsh volunteered his services as Promotions Officer.
Angela Hall volunteered her services to design the WATPA web site.
The meeting then moved on to General Business.
GENERAL BUSINESS.
BANK ACCOUNT:
Resolved on the motion of Daren McDowell and seconded by Karl Buckley, that an account be opened at Bendigo Bank with any two of the four main office Bearers be eligible to sign.
Resolved on motion of Daren McDowall and seconded by Bronwyn Hill, that we also investigate credit card/PayPal facilities linked to our website if possible.
The following matters were then discussed and agreed upon:-
LOGO:
The need for a WATPA logo was discussed. This discussion included avenues by which to obtain the ideas for design and how to eventually market this logo.

WEB ADDRESS:
Daren McDowall advised that the web address for the association will be www.watpa.org.au
ABCRA:
Discussion regarding affiliation with ABCRA. Chris Wyhoon advised that all WATPA competitors need to be members of ABCRA for insurance purposes. Yearly membership is $35.00 per year or $12.50 per competition day. This fee covers insurance, St. Johns Ambulance, Public Liability etc. on the day of competition, as well as during Busy Bees and practice days.
JUDGING:
ABCRA and ACA Judges are accredited to judge Team Penning.

COLLARS:
The preference was to use collars on the cattle used for competion. Australian Stockhorse Central Branch has offered the use of vinyl collars, free of charge, for the first few events.

PUBLIC ADDRESS SYSTEM:
The need for some type of P.A. system was raised. Purchase of our own system was thought to be cost prohibitive at this time. Hiring was possible through Chad Atkins.

STOP WATCH:
A stop watch is needed for competion days.
Nari has one - Karl Buckley to follow up.
AMBULANCE:
It is mandatory for St. Johns Ambulance/qualified first aid person to be present at competitions.
Choice One is an organization which provided an alternative to St. J’s Ambulance.

SPONSORSHIP:
Sponsorship is essential. WATPA has already been provided with generous sponsorship from:-
- Wellard Group – use of cattle for competition
Left Bank – dinner for 2
Gunapin Ridge – 2 rolls of oaten hay
BoatWest – cash donation of $120-00
Whitby Falls Stock Feeders –
Konke’s Own –
Saddles Plus
Budget Stock Feeders
Further methods of gaining sponsorship were investigated and put forward by Daren McDowall, such as advertising on the WATPA web page. Banners at Penning Days. Announcements over the public address system at Penning Days.
Laurie Hateley suggested approaching Lottery West. Laurie will follow up.
Chris Wyhoon suggested “The Bounty Hunter”. Chris will follow up.
HELPERS ON COMPETITION DAY:
Various methods of obtaining volunteer helpers were discussed, however, no firm decision was moved.
It was dicussed that helpers get preference in nominations at the following Penning day.
FINANCIAL REPORT:
The President tabled the financial report to date. Financial report accompany minutes.
FIRST PENNING DAY:
The date agreed upon for the first Penning Day is October 24, 2009 at 10 am. The venue is Byford Rodeo Grounds and nominations are to close on October 16, 2009 at 5 p.m.
