MINUTES OF MEETING OF OFFICE BEARERS
Held at BYFORD
At 7:30 p.m. on
September 2, 2009
Meeting Commenced at 7.30 p.m.
Present: Daz McDowall (President) Teresa Warner (Vice President) Jen Marsh (Treasurer) Susan Thomson (Secretary).
Meeting called for the purpose of handing over documentation to relevant office bearers and to discuss Team Penning arrangements for October 24, 2009.
Jen Marsh received Cash Book and Cash Box with explanation from Daz McDowall regarding cash receipts/membership to date.
It was decided that the Secretary would keep the Log of Members.
Discussion and arrangements for October 24, 2009 followed.
Wrist Bands: Decided that wrist bands be worn by all competitors who have satisfied all membership requirements/insurance requirements before competing.

First Aid Attendance: Ross Waddell was to enquire about first aid attendance following the General Meeting.

Public Address System: This was discussed at the General Meeting. Daz McDowall had received a quote from Three Monkeys but was considered cost prohibitive for the club at the present time. It was decided to enquire about hire of a p.a. system.

Logo: Several draft designs were considered. Daz McDowall moved to make the decision regarding the logo. This was seconded by Susan Thomson.
Outstanding Accounts: West Australian required urgent payment of account. Treasurer will arrange prompt payment of this.
Trophy: Daz McDowall presented WATPA with a High Point Trophy. This trophy has been kindly donated by Cantabilling Springs Camp Draft Committee.
ABCRA Insurance: The premium payable to ABCRA needed payment by mid September.

Advertising: Teresa Warner will prepare the advertising flyer to be used for circulation. She will email a pro forma to the Office Bearers prior to circulation. Daz McDowall will organize advertisement in the West Australian. Daz also suggested a cameo in a publication of The Countryman’s section Mane Story. Teresa suggested an article in the magazine Hoofbeats. Teresa will follow this up.
Bank Application: The Bendigo Bank Account Application form was completed by all four (4) signatories to the satisfaction of bank requirements.
Uniforms: Discussion regarding club uniform shirt style. A long sleeve, cotton western style was favoured. The clothing manufacturer Dust ‘n Boots was recommended by Daz McDowall.

Refreshments: The possibility of manning a refreshment canteen was raised. There was some uncertainty regarding the facilities at Byford Rodeo grounds.
